The Office Coordinator must maintain a professional relationship with the church staff and congregation. The Office Coordinator must keep in strict confidence information acquired through the duties of this position, which may be personal in nature to church members and/or staff.
The Office coordinator will work with Pastor to set regular weekly office hours: 20-25 hours a week, Monday-Thursday.

II. Responsibilities
The Office Coordinator is responsible for the efficient operation and organization of the church office, by prioritizing tasks in coordination with the Sr. Pastor, including the coordination of all employee and volunteer administrative and clerical activities.
The Office Coordinator must maintain a professional relationship and effectively communicate, both written and spoken word with the church staff, congregation, and community.
The Office Coordinator must keep in strict confidence information acquired through the duties of this position, which may be personal in nature to church members and/or staff.
The Office Coordinator shall remain proficient and current in Microsoft Office (Word, Excel &
Publisher), Adobe Publisher, and Google programs, as well as maintain other congregation database communication and record-keeping software, including Shepherd’s Staff and our church website.
III. Duties
A. Answer telephone and take messages.
B. Greet visitors to office.
C. Attend weekly staff meetings.
D. Send follow-up communication to visitors from the preceding Sunday and provide Pastor with visitor information each Monday.
E. Respond to email inquiries and maintain records.
F. Pick up and sort mail daily.
G. Participate in the production of the monthly newsletter, maintenance of the church calendar
(computer and bulletin board), weekly office calendar, and worship bulletins.
H. Coordinate volunteer activities for funerals/weddings and send out invoices in consultation with Pastor.
I. Maintain and share a vacation calendar for all staff.
J. Monitor and ensure that church website is updated and operational, with accurate calendar of events and service times.
K. Update and distribute directories and new member contact data as needed.
